Timings
Thornbury Carnival is held at the Mundy Playing Fields, Thornbury, South Gloucestershire. Following the parade, the field activities are open to the ticket holders from 11.00am.
Stallholders are expected to trade until at least 5.30pm. The evening entertainment programme continues into the early evening with the activities ending at approximately 10.00pm.
Stallholders may access the site from 6.00am on the Saturday. Larger marquees and gazebos can be set up on Friday by arrangement only and must arrive between 4.00pm and 7.00pm. A representative may stay overnight as the ground is unsecured.
Road closures in Thornbury for the parade will affect access via Kington Lane after 9.00am on the Saturday morning.
The ground will be patrolled by uniformed security guards overnight on Friday and Saturday.
Vehicle Movement
Vehicle access for stallholders is via Wellfield Lane just off Kington Lane, BS35 1NA. Carnival stewards will only admit vehicles bearing a vehicle pass (which will be sent to you by email prior to the event). Vehicles will be directed to the Reception area for check-in and then directed to their pitch location area by a steward.
Once your stall has been set up you must move your vehicle to the allocated parking spaces on the field. All vehicles must be relocated to the allocated parking area by 10.00am.
Stallholders are allocated either two or four people per pitch depending on size booked. Your vehicle pass includes admission for these people. Any additional stall helpers are requested to park off-site and enter via the pedestrian gates where normal admission charges apply.
We pride ourselves on our record of site safety and with a hopefully very busy day and lots of visitors, vehicle movement is strictly prohibited until stall closure at 5.30pm. The prescribed exit route must be adhered to. Stewards will help guide you out!
Stall Equipment
Stallholders need to provide all their own resources for the set-up of their stalls, including a gazebo, table, chairs, table covers, and signage. You will need to bring the necessary electrical connectors if applicable and sufficient ropes/cords, stakes, mallets etc.
Third Party Liability Insurance
All stallholders are required legally to have 3rd party liability insurance in place. You will be requested to submit a copy of your certificate during the online application.
Health and Safety
The Thornbury Carnival organisers primarily want the event to be an enjoyable and safe event for all. To those ends, we must collectively ensure that the site is safe at all times.
Please ensure the safe operation of your stall at all times. Adult supervision is required on all stalls at all times. Carnival Organisers will inspect your stall and complete a risk assessment shortly before opening. Please make sure all electrical equipment has been PAT tested, all Gazebos are secured well and trip hazards, particularly cabling for power supplied to your pitch, is clearly identifiable/covered/buried.
We reserve the right to remove any stall deemed unsafe.
Stallholders are asked to remove all equipment and litter at the end of the day.
Cancellation Policy
We regret that refunds cannot be given unless your stall is Health and Safety compromised due to adverse weather conditions. Should you be unable to attend the event, a credit note will be offered for a pitch at the following year’s event.
Marketing and Social Media
